The inquiry reply that actually books the trip

Most travel businesses send the same 'thanks for reaching out' template. Here's the reply shape that turns cold inquiries into deposits.

Travel inquiries decay fast. Someone spent an evening researching a trip, wrote to five operators, and is comparing replies over morning coffee.

What most operators send

"Thanks for your interest in our Bali tour! Could you tell us more about what you're looking for and when you'd like to travel?"

Every operator sends a version of this. It puts the work back on the traveler and answers nothing.

The shape that works

Three parts, in order, under 120 words:

  1. The answer. Yes, those dates work. Rough price is X per person.
  2. One specific detail that shows you read the message. Small-group, dietary preference, honeymoon, whatever they mentioned.
  3. Two concrete next steps. A 15-minute call at a real time, or a draft itinerary you can send by Friday.

The tone

Sign it as a person with a direct email or WhatsApp, not "The Team." Travelers are choosing who to trust with a five-figure trip and two weeks of their life. A named human wins.

Subject line

"Re: Bali honeymoon, Feb 8-20, quick answer + a draft itinerary this week" beats "Re: Your inquiry."
